Minutes from September 26, 2007 Meeting
· On the third bullet, it should read, “If the audit put the
class….”
· On the ninth bullet, include the information that advisors will
still be able to get blank curriculum sheets after the audit is rolled out.
· With these changes, the minutes were approved.
Announcements
· First Generation panelists are needed from the following
colleges: one from CAFES, one from CSM, two from CLA, and two from OCOB.
Nominations should be sent to Susan Sparling. There is some funding available,
but most First Gen panelists are volunteers. The panel is available to do a
presentation for AAC if the Council wants.
· The Career Center will be having a Resume Roundup Thursday,
October 11, 12:30-2:00.
Items of Business
Guaranteed Housing for Freshmen
· AAC discussed inviting Preston Allen to a meeting to express how
important they feel guaranteed on-campus housing for freshmen is to student
success because of the lack of transitional programs in the off campus housing
and the sexual assaults that have happened off-campus, among other issues.
· Susan had heard Preston speak in other venues and shared the
information he’d give there, including the financial considerations Housing has
to deal with.
· AAC agreed to invite Preston to see how they can help facilitate
guaranteed housing for freshmen.
Retreat Follow-up
“It’s Up to You”
· Inform other groups on campus, especially AdviseNet, about the
campaign.
· Set up a series of signs on sticks around campus with “It’s Up to
You to…” and a series of items at the bottom, e.g. “Turn in a request for a
graduation evaluation.”
o All members will come up with three “It’s Up to You” phrases.
o Rachel will find out about permissions to post items.
o Brad will find out about stakes.
o Susan will organize and coordinate the effort.
· Subcommittee members: Susan, Bonnie, Brad, Kim, Helen, Rachel,
Cynthia, Shannon.
Lucy Booth
· Set the Lucy Booth set up two times during Fall Quarter.
· The booth would be set up on Dexter Lawn.
· The tentative dates would be October 25 and November 8.
· Hire a student assistant to assist with set up and break down of
the booth. The student would need to be available from 9 to 10, and 2 to 3 on
10/25 and 11/8. We would staff the booth from 10 to 2 with volunteers from the
Advising Council. We are hoping to utilize the same student for other Lucy
Booths during winter and spring quarter.
· Make sure we have a location to store the Lucy Booth before
ordering another one. Check with Kris to see if she can keep the current booth
under the stairs in Business.
· Katie is working on an ad to hire a student through Mustang Jobs
for $8 to $9 per hour.
· Check the availability of Dexter Lawn for those dates.

Advising Portfolios
· Content of Portfolios
1. “College
Success Checklist” should be added to next year’s binders.
2. “Easy
Steps to a Successful Advising Appointment” sheet should be added to next
year’s binders.
3. Information
about the procedure for wait-listing classes should be added, with an
explanation that being on a wait list does not guarantee admission into a
particular class and that freshmen should acquire 12 units, not including
wait-listed classes.
4. Information
about adding a permission number, particularly for courses requiring a lab,
should be included in next year’s binders to avoid confusion during
registration.
5. Information
on the ELM & EPT scores could be condensed into one page each to make it a
more efficient tool for the SOAR program.
6. Contents
of the binder should be available on line in one location for students to
download.
· Communication Regarding Portfolios
1. Advising
Council should recommend to instructors of all first-year orientation classes
that they discuss with students the concept of an Academic Portfolio binder and
its use during advising appointments. We would like to recommend to instructors
that in the future they consider making the Academic Portfolio binder an
assignment in their orientation classes.
2. Advising
Council should recommend to all Department Chairs that they include information
about the use of Academic Portfolios on Department websites.
3. Advising
Council should ask departments to also include a link to the College Success
Checklists and Easy Steps to Successful Advising handouts on their websites.
4. Advising
Council should also ask departments to include information about the use of
Academic Portfolios in the new student information packets that are mailed to
students before the start of fall quarter.
5. Advising
Council should ask Admissions for help in creating an “E-com” message that
could be sent out to students reminding them to bring Academic Portfolios to
all advising appointments.
6. Portal
announcements should be created to remind students to maintain a Portfolio and
to bring it to all appointments.
7. Faculty
should be educated on the use and importance of the Academic Portfolio. One
idea is to have one of the college representatives from Advising Council
briefly speak at each department meeting about the concept of the Academic
Portfolio.
8. A
sample Portfolio with the inclusion of the College Success Checklist and Easy
Steps to Successful Advising handouts should be available at the Lucy Booth.
