Summary Notes October 26, 2006

Kris McKinlay brought the meeting to order at 2:10. Charity Romano moved to approve the minutes from the previous meeting. Matt Carlton seconded the motion. The minutes were unanimously approved.

David Conn -  Academic Probation/Disqualification Changes

  • Cal Poly never implemented Executive Order #823, issued on May 29, 2002, regarding “Minimum Requirements for Probation & Disqualification.” The Order will be implemented immediately beginning with Fall Quarter 2006.
  • The new AP/DQ calculations are based on GPA not quality credit points. This change has implications for the PeopleSoft programming team.
  • David distributed the changes in the AP/DQ wording in the catalog copy and asked for AAC’s input. He is especially interested in whether or not students will understand the wording. A few members made comments and David asked that those comments be e-mailed to him. A request was made that David solicit input from Associate Deans, which he will do.
  • Much of the additional wording comes directly from the EO. Language was added to the catalog copy explaining “unadjusted GPA” because PeopleSoft recalculates historical GPA.
  • The new definition of DQ will be harder on lower division students and seniors and easier on juniors. More students will likely be disqualified under the new guidelines.
  • The EO says “subject to disqualification,” so Deans can still overrule the guidelines.
  • AAC will discuss the wording at its next meeting.

Items of Business:

GE Messaging

  • The final wording used for Winter 2007 registration was: “This course might meet one or more curricular requirements such as USCP, GE or COOP. Please consult the Cal Poly Catalog for more information.”
  • Several people were dissatisfied with this wording and felt it would cause confusion for students.

PeopleSoft Requests

  • The requests were given to Kimi, and she will respond by November 2.

OAR Report

  • Tom Zuur introduced Maureen Muller, the new Associate Registrar for Evaluation and Articulation.

Retreat Follow-up

  • Communication & Collaboration: Kris, Tammi, Tom, Maureen, Matt
    • Keep communication open on the AP/DQ issue
    • Keep communication flowing between OAR and AAC so that consistent, accurate information reaches the students
    • Have an informal, face-to-face get together with OAR and AAC. Request funds from Provost
  • Professional Development: Brad, Patricia, Anya
    • Use one AdviseNet meeting as a workshop to develop different skills. Possible activities: speaker, round table, case studies.
    • After attending a conference, people can hold a workshop at CTL and share what they learned.
    • Brad and Kristi will ask Cornel Morton and Bill Durgin to sponsor a speaker.
  • Student Success: Katie, Sarah, Charity, Debbie
    • The working group wants input from the rest of AAC on the advising folders. Ideas included 1) Making them more major-specific. 2) Having students receive the folders from their advisors rather than at the Advising Fair. The advisor could then stress that it is an important tool and set up the expectation that students will continue to use folders throughout their Cal Poly career. 3) Giving folders to students at the beginning of Fall quarter.
  • Katie will send an e-mail with the current contents of the folder and ask for comments and feedback.
  • The working group also discussed the culture surrounding timely graduation and the possibility of encouraging students to attend summer session.
