Kris McKinlay brought the meeting to order at 2:10. Wendy Spradlin moved to approve the minutes from the previous meeting. Bonnie McKim seconded the motion. The minutes were unanimously approved.
Items of Business
- The GE Program Review Committee was unable to attend. No one had written comments for them.
PeopleSoft Communication Protocol
- Do not save all PS issues for AAC meetings.
- Send all recurring PS issues to Kris. This method will provide a more global perspective , and Kris can prioritize them before sending them on to the PS team.
- For specific cases, advisors will continue to work through their evaluators or directly with members of the PS team if an arrangement has been reached with that team member.
- A request was made for Kris to let all AAC members know when there’s a system-wide problem.
- Some frustration was expressed over not receiving fixes or information quickly enough.
GE Messaging
- AAC unanimously preferred: “You are successfully enrolled in this course. Please consult the Cal Poly catalog to see how this course fits with your major’s curriculum.”
- This wording will be suggested to Kimi, and David Conn will be copied.
Suggested Text for Unofficial Transcript
- After discussion, AAC agreed on the following wording:
“This is a record of courses you have taken at Cal Poly. This does not show how these courses fit into your specific major or course of study. Not all units appearing in transfer totals, cum totals, and term totals are necessarily applicable to your current degree program. If you have questions on the content of this unofficial transcript, please contact the Office of Academic Records.”
AP Reports
- After discussion, AAC agreed to ask for the following items on AP reports:
- Name
- Major
- E-mail
- EmplID
- Local Address
- Permanent Address
- Mandatory DQ (catalog definition)
- Discretionary DQ (catalog definition)
- AP
- Current GPA
- Cum GPA
- Higher Ed GPA
- Quality Units for all 3 GPAs
- Quality Points for all 3 GPAs
- Deficient Points for all 3 GPAs
- Previous quarter GPA
- Previous quarter courses
- Current quarter courses
- Reason for withdrawal
- Total number of quarters on AP
- AAC will request that the report be run after repeats are calculated.
- AAC will request that the data be a repository on Brio.
- Kris will contact George Yelland to set up a meeting to make AAC’s requests.
- Stacey, Wendy, Ellen, Shannon, and Debra Valencia-Laver will attend the meeting with George and will work out the formatting of the report with him.
