Summary Notes May 17, 2007

Kris McKinlay brought the meeting to order at 2:10. Two corrections were made to the minutes: 1) Switch the numbers 1 and 2 under “Code” in the first listing under “Degree Checkout Status.” 2) Under Prerequisite Checking, fourth bullet, fourth sub-bullet should read “Continuing transfer students may…. Debra will follow up with CMS.” Ellen moved to approve the minutes. Cynthia seconded the motion. The minutes were unanimously approved.

Items of Business:

SOAR

  • The SOAR committee asked AAC to use its remaining 2006-07 funds, which must be spent by June 30, to help with the cost of the academic portfolio, a resource that will be distributed at SOAR that students can use throughout their academic career to organize their academic records.
  • Some members were concerned about giving AAC’s small amount of funding to SOAR and what impact it would actually have. Proponents responded that it showed that AAC supported the concept of academic portfolios, which would be a useful advising tool for everyone.
  • A number of alternate suggestion were raised regarding how to use those funds:
    • Binders for students who won’t attend SOAR, including summer admits.
    • AAC retreat, though it was pointed out that this is after the deadline.
    • Advertising to increase awareness/use of the academic portfolio
    • Mustang Daily ad encouraging students to get their graduation evaluations four quarters in advance
    • A section in the academic portfolio that specifically supports AAC’s mission.
  • Wendy moved to agendize the discussion of how AAC would spend its remaining funds. Cynthia seconded, and the motion passed unanimously.

Prerequisite Checking

  • University scheduling will add the prerequisites into PeopleSoft.
  • CMS is creating the student group and putting all upper division transfers into it.
  • As soon as transfer coursework is entered, students will meet the prerequisites with an equivalency. Until then, transfer students will need permission numbers unless they are in the upper division student group.
  • GE or CLA will check all D5 classes to see which ones have additional prerequisites and will give this list to AAC.
  • AAC decided they do not want a class note saying the prerequisites are being enforced. There is an existing class note.
  • Approximately seventy classes will be affected.
  • A suggestion was made to enforce the prerequisites on only a few courses because when other colleges began enforcing prerequisites, they received very high call volume from students. After discussion, AAC agreed that selective enforcement would create more confusion.
  • In order for students who are taking an A2 or A3 class elsewhere during summer to receive a permission number, they will need an unofficial transcript.
  • Students who have a problem registering for C1, C4, or D5 should call x2359.
  • AAC again emphasized how important it is for all continuing transfers to be coded into the student group.
  • A suggestion was made to see if enforcing prerequisites improves the GWR passing rate.

Bonnie’s Report on Meeting with Kimi

  • The title of the course for transfer work will be included in the Student Profile.
  • They discussed readmission students. Kimi thought they had to reapply, but they don’t.
  • AAC discussed the issue of how much time these few students take up. Wendy has a form she asks them to fill out that she will forward to the rest of AAC. Bonnie will draft a proposal for a course of action to solve this problem.

OAR Update

  • The repeat issues due to incorrect coding are being cleaned up.
  • Course details will be on PolyProfile soon.
  • In the Mustang Daily, Hancock mistakenly advertised A2 credit for a course that does not articulate to an A2 credit. Hancock will run a corrective ad.
  • The biggest change in PeopleSoft 8.9 may be the self-service aspect.
  • Tom handed out a screen shot of how the catalog requirements will look on PolyProfile.
