Kris McKinlay brought the meeting to order at 2:10. A correction was made to the minutes, changing “no” to “not” in the first bullet under Graduation Evaluations. Peggy moved to approve the minutes. Charity seconded the motion. The minutes were unanimously approved.
Graduation Evaluation
- Maureen clarified the graduation evaluation information in the May 3 minutes. She said OAR may not use a mass email to notify all students who did not turn graduation evaluation requests in on time. Debra suggested sending an email to associate deans who could then distribute it through the colleges. AAC asked to be copied on that email.
Items of Business:
Degree Checkout Status
AAC’s preference for changing the language of the degree checkout status on PolyProfile is as follows:
| Code |
Current Language |
Recommended Language |
| 2 |
Applied for Graduation |
No change |
| 5 |
Degree Awarded |
No change |
| 3 |
Denied |
No change |
| 1 |
Needs to Finish Pending Work |
Graduation Evaluation Pending |
Kristi made the motion to recommend this language; Ellen seconded it, and it passed unanimously. If it is not possible to change the language, AAC wants, as a second option, to change the codes as follows:
| Code |
Shows on PolyProfile as |
| 1 |
Applied for Graduation |
| 2 |
Needs to Finish Pending Work |
| 3 |
No change / Denied |
| 5 |
No change / Degree Awarded |
Charity made the motion to recommend these changes as a second option. Maureen seconded it, and it passed unanimously.
Prerequisite Checking
- Last time this topic was discussed, AAC decided it supports prerequisite checking in theory for academic reasons.
- Ideally, CLA and GE would like to check A2 and A3 prerequisites for C1, C2, C4, and D5 courses, the writing intensive courses. As a compromise, they are proposing to make A3 a hard check for C1 and A2 and A3 hard checks for C4 and D5 with no hard check for C2.
- If the prerequisites are going to be enforced during Fall quarter, the changes need to made now.
- Process advisors will follow when prerequisites are enforced:
- Advisors can encourage students to take the GE courses in order.
- In some cases, professors can be contacted to obtain permission numbers.
- AAC requested a list of classes that are on hard checks so that if a student is not allowed to register for one of the classes on the list, they will know it is because of the A2 or A3 class and not some other prerequisite.
- There will be no glitches with upper division transfer students because they have been entered as a student group. Continuing transfer students may also need to be coded as part of the transfer student group. Debra will follow up on this question with the CMS team. The effect on lower division transfers is unknown.
- CLA may need to offer some A2 and A3 classes that are open to juniors and seniors only. They are prepared to do so.
- Students who have problems registering for these GE classes will call CLA. These groups may include continuing transfer students and continuing students who took A2 or A3 at a community college over the summer. Once the student gives CLA proof that they took the course, CLA will give them a permission number.
- AAC will continue the discussion on prerequisite checking next week.
