Summary Notes JANUARY 25, 2007

Kris McKinlay brought the meeting to order at 1:10. Debbie moved to approve the amended minutes. Brad seconded the motion. The minutes were unanimously approved.

Items of Business:

Progress Report Needs and Prerequisite Report Needs

  • One change was made to the requested items that had been collected during the week. AAC would like CPSLO cumulative GPA and Higher Ed cumulative GPA listed for each term on the report.
  • The report will come out after the Add/Drop period.
  • It was stressed that this report will not work for determining whether or not a student has met the prerequisites for a certain class.
  • Departments still need a report for determining whether prerequisites have been met. A class list format would be ideal, but AAC understands that the programming for that might be difficult. Another concern with this report is that it would not reflect transfer credits because the transfer credit report may not have been completed.
  • Options presented to remedy this lack: have students bring their transcripts to class. In CAFES, faculty members look up the students’ records.

Transcripts

  • The transcript now has a disclaimer: “Not all units appearing in units earned (UE) are necessarily applicable to the student’s current degree program.”
  • AP/DQ will be on the unofficial transcript.
  • Transfer credit from international programs does not appear in the term taken but rather at the beginning of the transcript as transfer credit.
  • AAC would like to see some notation of repeated units. If this request cannot be fulfilled in this version of PeopleSoft, AAC will ask for it for 8.9, along with other requests that cannot currently be fulfilled.
  • Units attempted are not true units attempted; they are units attempted for financial aid. Use units graded instead.
  • AAC requested that under Advanced Placement, “Units Granted” be changed to “Units Earned.”
  • There was confusion over the notes “Flag – Information only,” “Exclude all – within policy,” and “Exclude Earned – within policy.” Maureen will clarify and report back.
  • For students who entered Cal Poly before Winter 2007, non-bacc transfer units are only included in the transcript if the credits were taken prior to Fall 2002. Beginning with students who entered in Winter 2007, no non-bacc units will transfer, regardless of when they were taken.
  • There was an instance on one of the transcripts where repeat units were not calculated correctly. OAR is still working out the bugs and will look at this situation.
  • Credit/No Credit calculations are now working correctly.
  • Maureen will also check when transfer credit will come over.

Announcements

  • Evaluation staff will be unavailable next week.
  • Tell faculty about the Advising 101 workshop.
  • Start thinking about the Outstanding Faculty Advisor.
