Kris McKinlay brought the meeting to order at 1:15. Matt Taylor moved to approve the minutes. Ellen seconded the motion. The minutes were unanimously approved.
Items of Business:
Advising 101 Report
- Thirty people attended, approximately half staff and half faculty.
- Katie will put the handouts on the General Education Blackboard.
ASI Discussion – Graduation Evaluations
- ASI is concerned with the status of graduation evaluations. Ideally they would like to have live access to the new version of PolyProgress.
- Students will have live access to the new version, but that access is approximately a year out. CMS team hopes to release it to OAR in March and to academic advisors in April.
- Students want the cumulative GPA on unofficial transcripts to be correct. It is important for students to be accurate when communicating with potential employers. AAC recommends that students use the official transcript for the time being. They will need to request it from the OAR 10 days in advance of when they need it.
- Students don’t currently have access to unofficial transcripts.
- ASI plans to pass a resolution on this issue and wants to know what it can do to support the rollout of the new PolyProgress system. AAC recommended that ASI use the words “correct data” in its resolution and that students look at other universities’ degree audit systems to see what features they want. AAC is willing to read the draft of the resolution and provide input.
OAR Follow-up
- Transfer credit is the term credit was applied, not the term classes were taken. This information does have to stay on the transcript in this form.
- OAR is looking into changing units granted to units earned for AP credit. Type of AP credit earned will show on the transfer credit report. Students cannot run transfer credit reports themselves.
- CSU IP and Cal Poly London Program study abroad classes will appear on the official and unofficial transcript. All other study abroad work will appear as transfer credit.
- CSU IP may be chronological on the transcript. Maureen and Helen will check into this.
- Repeat flags: “Exclude all” will be used if it’s a forgiveness—student earns a D+ or below in the class the first time she takes it. “Exclude Earned” will be used if the student is not eligible for forgiveness—student earns a C- or better in the class the first time she takes it. “Exclude all” or “Exclude Earned” flag will go on the quarter the class was originally taken. “Information only” flag will go on the quarter the class was repeated to alert the reader that the class was repeated during that quarter.

Budget Proposals
- Katie showed a mock-up of a slatwall sign that would contain informational brochures that students could pick up. She also passed out an informational piece on the sign. It would cost $215.
- Katie passed out a number of options for booths AAC could use to replace the Lucy Booths. Cost ranges from $230-$2260. The booths could be stored in the GE Conference room.
- Patricia proposed using some of the credit at The Sign Place for sandwich boards advertising Summer quarter that would have either the AAC logo or “Graduate on time” included on the sign.
