Summary Notes DECEMBER 16, 2006

Kris McKinlay brought the meeting to order at 2:10. Maureen moved to approve the amended minutes. Matt seconded the motion. The minutes were unanimously approved.

Items of Business:

AP/DQ Report – Kimi Ikeda

  • The report will be run after grades are posted
  • The categories will be Probation, Subject to DQ 1 (GPA below 1.0), Subject to DQ 2 (2nd term on probation), and Subject to DQ 3 (combination of GPA and class level). There will be a legend at the bottom of the report explaining the abbreviations.
  • Rachel will find out whether the catalog verbiage on AP/DQ is finalized.
  • The report will be sent out December 21.
  • An Excel spreadsheet with the e-mail and mailing addresses of students on the report will be sent to the Dean’s office of each college. If someone wants the report sent elsewhere, the dean needs to contact Kimi.
  • There is still some concern that mailing addresses will not be current and that will cause problems.
  • If there are a lot of RDs, the report may be rerun, but not until after the start of classes.

Version 8.9 Timeline – Kimi Ikeda

  • The 10 month process will begin in February.
  • Version 8.9 will look and feel different but will not have much more student administration functionality. It will have a shopping cart approach, and the groupings of items will be different. 8.9 will add HR functionality.
  • The upgrade to 8.9 will be finished in January of 2008, and then the upgrade to 9.0 will start immediately after that.
  • There will be training provided for 8.9.
  • The transition of technical support to ITS has taken place, but functionality decisions are still being made by the CMS team. The transition hasn’t been fully defined yet.

Printable Schedule – Kimi Ikeda

  • The team will be looking at a printable schedule for Fall 2007. If it is available for Fall, it will be available for SAP. The team will be asking for input as to what to include, possibly in Spring.

Student Audits – Kimi Ikeda

  • Two things will give incorrect student audits: bad data in SIS or coding of the curriculum. The CMS team is fairly confident that the coding is correct and most of the problems come from incorrect data in SIS that has been converted to incorrect data in PeopleSoft.
  • Only advisors will receive the audits for a year in order to help find bad data.
  • Evaluators will use audit.
  • Phase I validation is still ongoing.
  • Phase II validation of the customized report that advisors can with students will be accomplished with input from the advising centers and some faculty from CAFES.
  • An e-mail account will be set up to funnel audit questions and certain information will be required in each e-mail in order to make the information useful to the CMS team.
  • There will be regular sessions at AAC meetings to go over the questions from the previous month and offer training.

Transfer Credit Summary – Jennifer Thoma

  • Jennifer Thoma handed out and went over a guide to viewing transfer credit summary data in PeopleSoft.
