Kris McKinlay brought the meeting to order at 1:08. Introductions were made. Brad moved to approve the minutes from 3/15/2007. Matt Taylor seconded the motion. The minutes were unanimously approved.

Outstanding Faculty Advisor Award
- Nominations are very much needed from students, not just from faculty. The deadline is approaching, and viable candidates are scarce. The information is on the portal. Please spread the word.
New Student Summary Page
- Kimi reported that at 8:00 am on April 13, there was to be another group of 1200+ students available on PolyProfile. An e-mail will go out with this information. With this group (anyone enrolled since Spring 06 or enrolled next term), 90-95% of campus needs for this data are anticipated to be met. PolyProfile data is refreshed nightly. There are some outstanding requests from AAC for items of inclusion on PolyProfile; these form the basis for future features.
- Unofficial transcripts were pulled from view due to a possible PS bug: the repeat program for grade forgiveness is not functioning properly for approximately 3000 students with transfer or AP credit. Manual cleanup is ongoing. In the meantime, departments and advisors should contact OAR if an unofficial transcript is needed for a student not viewable on PolyProfile.
- Requests were made to keep SIS up for advisors’ use. There are not plans to take SIS away until transcript issues are resolved and other functions are up and running.

- Positive feedback; AAC is finding this useful.
GE Prerequisite Checking
- A follow-up to the last discussion. Outstanding issues from that meeting: 1) how to implement in PS—bulk units? admit type? 2) Reasons for this policy change. 3) How many CP natives take Area A over the summer? 4) How many take Area A out of sequence? 5) AAC concerns re implementation.
- Admit type is not a possibility, but other CSU’s use “student group.” Freshmen and transfer would be the 2 groups. Freshmen could not register for writing-intensive GE courses until Areas A2 and A3 were met. (Other prereqs are listed in the catalog, but GE and CLA are requesting only this limited enforcement of Area A at this time). ENGR students would be included in the “transfer”group, though they have not met the Golden 4.
- WASC accreditation, criticisms from external GE Program reviewers, and desirability of maximum student learning and student success are driving this issue as a priority. It is believed that enforcing prereqs at registration, now that PS allows more robust prereq checking, is preferable to instructors’ dropping students, who have used a priority, on the first day of class.
- Hard data is not available from Institutional Planning for how many CP natives take Area A over the summer. It is thought to be a small group.
- Taking GE courses out of sequence seems to be more common; students sign up for other GE courses when they cannot get Area A.
- Concerns were voiced about whether the campus is ready for this change from a resource standpoint and about the impact on the Advising Centers and other campus offices: when students cannot register, they will call. Debra reiterated the willingness of CLA and GE to field these calls and grant permissions to students taking A3 in the summer. Matt believes that the culture change for students will be relatively quick. Messages can go out to students (PASS, CP Reg, advising centers who are advising students in advance of the summer) regarding the new policy. Brad expressed a willingness to receive the extra phone calls, until the culture change takes effect, for the sake of student learning goals. Debbie offered to lead registration troubleshooting sessions over the summer.
- A show-of-hand vote revealed a majority who believe prereq checking to be a priority for the group. Given remaining concerns about implementation and the expressed desire for a “meeting of the minds,” it was agreed that further discussion was warranted, so that AAC can offer further ideas and advice about implementation.
