Summary Notes May 18, 2006

  1. Tom Zuur reported on the current situation in the Evaluations Office.
    • Recruitment: Dee Ann’s position will be posted next week. Another Evaluator level recruitment will also be posted next week and limited to on-campus staff.
    • New staff members have been given assignments: Helen has been assigned to CLA and international students. Amy has been assigned to CAGR and international students because Darline is retiring in October. Carie has been assigned to the academic advising aspect of PeopleSoft. Patsy Murphy and Lindsey Doerty have been assigned to enter transfer credits into PeopleSoft. Rosa and Carie have been assigned to historic catalog build for 01-03. Jane and Eve have been assigned to Athletics. Jane and Patsy have been assigned to articulation. Cindy Jenkins will be entering student records in PeopleSoft.
    • PolyProgress and PeopleSoft advising: PolyProgress will be used for Spring and Summer only. Records is putting most of its resources into PeopleSoft. They hope to be producing audits in PeopleSoft by the end of Fall.
    • Evaluations asked Admissions to flag four year transfer students in PeopleSoft so that staff could do their evaluations first.
    • There are 35 updated articulation agreements in ASSIST.
  2. David Conn reported that Summer enrollment is short of the goal of 25% of the SCUs of Fall and asked AAC for suggestions for increasing summer enrollment.
    • Jessica Gibbons said she did not see anything around campus telling her that registration was coming up. She said signs would help. She also suggested sending out an e-mail that says, “Registration begins” and the date in the subject line.
    • Scheduling problems: 1) Bonnie: five week classes that are scheduled four days per week don’t work for students because then they feel they can only take one class because two would be too difficult. 2) Kathryn: English Department five week classes are all full. The upper division eight week classes are not full. Maybe there were too many schedule choices for students. Maybe students don’t want to do an eight week class and a five week class. 3) Bonnie: Students like online classes.
    • Financial problems: 1) Cindy: No financial aid during Summer. 2) In 1991, when Summer enrollment was high, tuition was lower 3) Bonnie: Students take lower division classes at community colleges because it’s cheaper. 4) Bonnie: If a student needs to work, s/he can’t take classes in the middle of the day because then there is no block of time for work.
    • Academic problems: 1) Wendy: Some students can’t handle two classes in five weeks. David replied that starting incoming Freshman out with a light load is dangerous because then they continue to take too few credits and don’t graduate on time. 2) Ellen: When students are having trouble with a class, they are generally unsuccessful when repeating it during Summer.
    • David asked AAC to please remind students that Summer is cheaper than other quarters if they take two classes.
  3. Mary gave an advertising update and showed the Mustang Daily USCP ads and the Tip of the Month on the web site to AAC.
  4. Chair of AAC for next year
    • Mary will not co-chair AAC next year.
    • AAC will still receive a budget from Academic Programs.
    • Cindy is retiring
    • Discussion on chair/co-chair model: Brad supported the administration/advisor co-chair model because it provides balance and connection to the rest of the college and prevents AAC’s focus from becoming too narrow. Cindy supported the co-chair model to balance the workload. Wendy raised the possibility of a faculty advisor/college advisor co-chair. Patricia Ponce of Academic Programs is willing to co-chair, but only if AAC wants her to.
