Summary Notes December 15, 2005


Summer Quarter

1. Linda Dalton presented some background information.

  • Summer quarter is not optional for Cal Poly.
  • The enrollment goal for summer is 25% of the average enrollment for the rest of the year, which is 7,000-8,000 students.
  • In 1990, summer enrollment was 27% of the average enrollment for the rest of the year.

2. Kris McKinlay reported on the summer survey OCOB took.

  • The first 5 week term is preferred by most students.
  • Students want 2 out of 3 classes in their major.

3. The Council discussed the logistics of summer quarter.

  • Kathryn Rummell urged that a unit cap of 8 units be put on the 5 week sessions.
  • Tom Zuur said that until OAR converts to PeopleSoft, grades will only be available at the end of the 10 week quarter.
  • Cindy Jelinek recommended making sure that courses students usually take together are not offered at the same time.
  • Mary Whiteford said Academic Programs will make sure the GE courses are spread out in the schedule. For example, C4s will not all be offered at the same time.
  • Kathryn Rummell suggested that three schedules-5, 8, and 10 weeks-are too confusing for students.
  • The issue of how to hold finals for 8 week classes was raised but not resolved. One suggestion for summers after '06 is that 8 week classes start 2 weeks later and then share the same finals week as 10 week classes.
  • Linda Dalton requested early communication between departments to avoid time conflicts that might lead to cancelling courses later.

Class Schedule

1. Kimi Ikeda explained why the class schedule is not being printed anymore.

  • The bookstore prints the class schedule. There has been a decline in sales, so the Provost's office has been subsidizing it. They have decided not to subsidize it anymore because student input shows that students prefer an online version.
  • The printed version is not up to date.
  • The information in the front and back of the schedule will be provided in some online form.
  • Students on PeopleSoft will have to go to the Portal from the very beginning of their Cal Poly experience, so it is a good place to push information to students about the class schedule.

2. Some advisors expressed concern over the time it takes to navigate online and the difficulty of presenting information to students in an online environment. They requested that all the information that is now in the front of the class schedule be in one place online.

3. Bonnie McKim expressed concern over the lack of a paper trail in the online schedule because of the difficulty of advocating for students if there is no physical proof of mistakes in the schedule. She asked how changes in the class schedule would be documented?

  • Kimi said that e-mail is now the official communication with students and that notifications will be sent when changes are made.
  • Debbie Arseneau explained that because of the nature of PeopleSoft, it is not possible to print the entire class schedule-it will not be available in the format it is in currently.

4. Kris McKinlay asked how the Summer Advising Program would be possible without the class schedule since it is the key instrument used for SAP.

  • Kimi Ikeda said it would need to be restructured and asked that the AAC let her know what facilities they would need.
  • Brad will call CS Long Beach to find out how they do SAP.

5. Kimi said that when the implementation team was closer to developing a web site for the class schedule, they would ask AAC to look at it and tell them if it contained the information they needed.

6. Kimi asked for a representative from AAC to attend the Systemwide Analysis Database meeting.

  • Stacey will attend the meeting.

7. AAC asked to see how the course data will be displayed in PeopleSoft.

8. AAC discussed the future of SAP.

Additional Business

1. Mary gave a report on the November 13 meeting with David Conn, Jean DeCosta, Kimi Ikeda, and representatives from the AAC and OAR.
