Summary Notes April 27, 2006

Kimi Ikeda, Tom Zuur, Linda Sandy, Debbie Arceneau, and Al Nunez attended.

1. General PeopleSoft announcements from Kimi
• The class schedule, the online catalog and the plan a schedule capability will be available June 1.
• There will be weekly PeopleSoft updates on the Portal login page.
2. Al Nunez demonstrated the students’ page of the new Portal.
• There are two different sets of information that will show on a student’s portal, depending on whether that student is attending Summer or his/her next term is Fall.
• EmplIDs will start being used in Fall.
• Most new students will be familiar with the Portal before they get to campus because they have been using it during the admissions process.
• New students don’t have Cal Poly e-mail yet.
• AAC should encourage students to keep their e-mail address current because that is how they will receive information.
• Registration holds will be visible on the Portal.
• The business flow on the portal shows the students what they need to do. International students’ needs and EOP needs are not part of that business flow.
• The To Do list tells students what they must do.
• AAC is welcome to add reminders to the Timeline feature in the Portal.
• There will be an Academic Advising tab. Advisors will not see the same thing when they log in to the Portal as students will, so Al will send the urls for the Advising tabs to AAC to proof.
• OSAP will go on the Orientation tab.
• Advisors will be able to see the registration information when they log in to the Portal.
• Faculty and staff will have access to student information from all colleges.
• Beginning in Fall, all forms need to ask for EmplID instead of SSN.
3. Linda Sandy demonstrated the schedule planning function.
• Students can search classes by Subject, GE Area, or USCP. Classes will be added to a shopping cart
• Students can set their availability.
• Many possible schedules will be generated and will be represented graphically. Students can sort the schedules in multiple ways and save whichever schedules they are interested in.
• Changes to registration will be communicated to students through the What’s New section of the Portal. Students in focus groups requested electronic communication. All e-mail communications that are sent to students regarding changes in PeopleSoft will also be posted in the What’s New section of the Portal.
• Students will be notified that Fall registration will be different before they leave for Summer.
4. No date has been set yet for the completion of transfer audits.
