Meeting Notes

ASSIST Update and Training: Presented by Academic Records staff Patsy Sanders & Ruby Moz

  • Patsy is the Articulation Officer for Poly. She has worked to build articulation agreements with other campuses to assist in determining student transferable units.
  • ASSIST.org website began 1985.
There are currently 23 CSU's, 10 UC's and 110 Community Colleges that participate.
  • Poly has 141 articulation agreements
  • This year Poly has had 995,000 'hits' and had 11,000 'hits' within the first 2 weeks of the quarter.
  • Ruby Moz is an Academic Progress Counselor. She presented a live demonstration and overview of Assist.
  • All articulation is faculty driven. If courses are withdrawn, faculty provides clear reasons for pulling them.
  • When using ASSIST.org be sure to choose the correct catalog year
    Review links available to you.
  • GE Breadth link: "date removed" means that there is no longer an articulation agreement and or the course may no longer be offered.
  • D-1 is the least flexible of all 'D's' at Poly. D-1 is the most problematic as there are 3 parts to it US-1 to US-3.
  • All 'D's' meet the D-2 and D-3 requirements.
  • Can do course to course articulations.
  • Beware group articulations for series of courses like: Math, Chem and Bio series
  • By major function is a good tool to utilize on this site.
  • Most GE's taken at another CSU are transferable. We 'try' to honor them if it shows as a GE at that institution. 'Safest way' is for student to either submit a petition or go to Evaluations Office to speak with staff.

**** Patsy Sanders will be leaving Poly. April 30th is her last day. We wish her well on her move to San Diego. Records is seeking a replacement .
***A Certification of GE Requirements hand-out was given to all attendees.

NACADA Conference Presentation: Bonnie McKim, Kim Marsalek and Charity Romano

  • Bonnie: Baltimore was beautiful, great conference center and it was well attended (at least 1,000 attendees).
  • Team Building Workshop with Faculty Advisors (Oliver College): They have found that advising has to be valuable to faculty, have to be recognized for it and ideally it is a fundamental component of their retention & promotion. Advising IS teaching and they provide faculty trainings (as does Poly, particularly during SOAR). Faculty are often confused and overwhelmed by advising duties and frequently 'learn as they go.' The Dean must require and encourage faculty to do advising. They use technology to assist with advising (Poly has begun doing this as well).
  • PACE Workshop (George Mason): On line advising. They provide a lot of on line advising to students (like our OLA site). They have a smaller curriculum than Poly so this is easier for them to do.
  • FACEBOOK and other Social Networking and Advising: Advisors spoke about using this as a way to connect with students.
    • Positives: Student love it, easy for advisors, culture of their students, "me" generation.
    • Negatives: Students are more isolated, legal issues may have an impact, check to see what Poly's policies are (SL&L uses this). Anything posted is 'out there' in cyberspace FOREVER!
  • Using Technology to Bridge the Gap Between Admittance and Orientation (OSU):
    • They have a strong student/parent piece and have developed a strong information site that they have found to be useful.
  • Final thoughts: Other institutions have problems similar to ours and have come to similar solutions, there was something for everyone who attended regardless of where they worked, way to re-energize and connect with others in our field (who also happen to be very nice people as a group)
  • Kim: Use of Technology to assist AP students. One institution developed an on-line course for students and she is in the process of doing this on Blackboard for CENG students. She will share it with us once she has it further developed.
  • Charity and Kim: Academic Portfolio Program Workshop
  • Charity: Assisted her in work with probation students, new concepts, tools and ways to approach students. Academic Coaching model that some are beginning to employ.

NACADA scholarships announcement by Kris McKinlay

The Advising Council has budgeted approximately $4,000.00 to subsidize 4 Advisors attendance at the national NACADA conference in October. Participants are asked to report on their attendance and provide an in-service of their choosing so that the campus can benefit from their experience. We sent 2 advisors this last year. Particulars on how/when to apply are posted on the Portal Announcements and the Advising Council webpage when applications are being accepted.
